Use this template for temporary passport handling during group departures, visa support appointments, or organized travel administration—not as a passport application. Create one submission per passport per event. Record receipt when the document enters your custody, then submit a separate return entry using the same internal tracking reference. Do not overwrite the receipt to mark a passport as returned; keeping both entries preserves the sequence. Use a traveler or booking reference rather than a full passport number, and keep scans and photographs out of this log. Before starting, agree on storage-location codes, the local time convention, and who may accept or release documents. At receipt, note any visible damage without making judgments about the passport’s validity. At return, identify whether the holder or an authorized representative collected it. Verify the recipient through your team’s approved process and record only a reference to that check, not a copy of their identification. The recording staff member signs each entry.
