By creating a HelloForms account or using any published HelloForms form as an account holder, you agree to these terms. If you are accepting on behalf of an organisation, you confirm you are authorised to do so.

2. Accounts
You are responsible for the accuracy of your account details, for keeping your credentials secure and for all activity under your account. You must be at least 16 years old, or the minimum age of digital consent where you live.
3. Plans, quotas and billing
Paid plans are billed in advance monthly or yearly through our payment provider and renew automatically until cancelled. Each plan includes a stated number of active forms, monthly submissions and seats. Submission quotas reset at the start of each billing period. Upgrades take effect immediately with a fresh quota window; downgrades take effect for the following period and may pause forms that exceed the lower limit — paused forms are never deleted and republish automatically if you upgrade again.
4. Cancellation and refunds
You can cancel at any time from the billing page; access continues until the end of the paid period. Except where required by law, fees already paid are non-refundable. We may suspend accounts that remain past due after reasonable notice.
5. Acceptable use
Do not use HelloForms to send spam or phishing, to collect payment card numbers or government identifiers in plain form fields, to distribute malware, to infringe intellectual property, to harass anyone, or to collect sensitive personal data without a lawful basis. We may remove content or suspend accounts that breach this section.
6. Form content liability
You are solely and fully responsible for every question you publish, every answer you collect and every use you make of that data. You must have a lawful basis for each field, must give respondents a clear privacy notice naming you as the controller, and must honour their rights over their data. You must not use HelloForms to harvest data unlawfully or deceptively. This expressly prohibits: collecting payment card numbers, CVV codes, full bank credentials or passwords in form fields; collecting national insurance, social security, passport or other government identifiers without a lawful basis and disclosure; scraping or bulk-capturing personal data you were not given permission to collect; disguising a form as belonging to another organisation; collecting special-category data such as health, biometric, genetic, racial, religious, political or sexuality data without explicit consent; collecting children's data in breach of applicable law; and using collected contact details for unsolicited marketing. HelloForms is a processor acting on your instructions and does not review or approve the content of your forms. You indemnify and hold HelloForms harmless against all claims, regulatory fines, investigations, penalties, damages and legal costs arising from the data your forms collect or how you use it. We may remove a form, freeze submission data, suspend an account or disclose information to authorities where we reasonably believe this clause has been breached, without notice and without refund.
7. Your content
You keep all rights to your forms, branding assets and submission data. You grant us the limited licence needed to host, process and display that content in order to run the service. You are responsible for having the right to collect the data your forms request and for the notices you give respondents.
8. Availability and support
We work hard to keep the service available but do not guarantee uninterrupted operation. Planned maintenance is announced in advance where practical. Support response times vary by plan; Business and Enterprise plans include priority support.
9. Liability
The service is provided on an 'as is' basis to the fullest extent permitted by law. Our aggregate liability arising from the service is limited to the amount you paid us in the twelve months before the event giving rise to the claim. Nothing in these terms limits liability that cannot lawfully be limited, and nothing in this section limits your obligations under section 6.
10. Changes
We may update these terms as the product evolves. Material changes will be announced by email or in the app before they take effect; continued use afterwards means acceptance.
