Who this template is for
Rent Receipt Form is built for agents, lettings teams and property managers who need to pre-qualify enquiries and gather documents up front.
- Agents, lettings teams and property managers working in real estate & property.
- Teams who need to pre-qualify enquiries and gather documents up front without writing code or paying for a custom build.
- Anyone replacing viewings booked with people who were never eligible with one structured record per enquiry.
- Respondents are buyers, renters and landlords — the form asks them 21 questions across 3 screens.
- Mobile-heavy audiences, thanks to the one-question-per-screen card layout.
Why this form is useful
It removes the cost of viewings booked with people who were never eligible and turns each submission into a record your team can act on immediately.
- 10 questions are required, so submissions arrive complete instead of needing a follow-up email.
- It collects a verified email address so replies and confirmations land.
- It captures a phone number for urgent follow-up.
- It records a signature you can keep as proof of agreement.
- It pins the request to a specific date.
- It captures a full postal address.
- It captures a numeric value you can filter and sort on.
- Conditional logic hides 5 questions until they are relevant — shorter forms convert better than long ones.

Logic and conditions blueprint
Exactly how this form behaves as it is answered — 5 conditional rules ship with it.
- Features conditional validation: if “Payment method” is Cash, “Received in person by” becomes mandatory before the form can be sent.
- Features advanced show logic: if “Payment method” is Bank transfer, the form dynamically exposes “Bank reference”. Otherwise that question never appears.
- Features conditional validation: if “Does this payment clear the full amount due?” is No, “Balance still owing” becomes mandatory before the form can be sent.
- Features advanced show logic: if “Does this payment clear the full amount due?” is No, the form dynamically exposes “Date the balance is due”. Otherwise that question never appears.
- Features advanced show logic: if “Was a late fee charged?” is Yes, the form dynamically exposes “Late fee amount”. Otherwise that question never appears.
- All 5 rules are editable in the Logic tab, and the built-in checker warns about rules that contradict each other.

Questions about this shared form
Is a digital rent receipt valid?
In most places a receipt just needs to identify the payer, property, amount, date and period. This form captures all five and adds a signature — check your local tenancy rules for anything extra.
How do I handle a part payment?
Answer No to the full-amount question and the balance and due-date fields appear, so the receipt records the shortfall rather than implying the rent was cleared.
Can the tenant fill it in themselves?
Better not. A receipt is issued by whoever received the money; let tenants notify you of a payment on a separate short form and issue the receipt yourself.
Can I number my receipts?
Yes — add a short text field for a receipt number, or use the submission ID already stored with every response as your reference.
Is the Rent Receipt Form template free to use?
Yes. You can preview and test Rent Receipt Form on this page without an account, and take a copy into your own HelloForms workspace on the free plan. There is nothing to install and no card required to publish it.
What does the Rent Receipt Form template ask for?
It asks 21 questions across 3 pages, 10 of which are required. Every question is listed in full further down this page, and each one can be renamed, reordered, made optional or deleted after you copy the template.
Can I edit the Rent Receipt Form form after copying it?
Yes — the copy is entirely yours. Change wording, add or remove questions, switch between the classic and card layouts, restyle it to match your brand, and set who gets notified on each submission.
How does the conditional logic in this real estate & property form work?
5 conditional rules ship with the template: Features conditional validation: if “Payment method” is Cash, “Received in person by” becomes mandatory before the form can be sent. Features advanced show logic: if “Payment method” is Bank transfer, the form dynamically exposes “Bank reference”. Otherwise that question never appears. Submissions land in your workspace under Submissions, where you can search, filter, label and export them to CSV or PDF. You can also email a notification to your team on every submission and send the respondent an auto-reply.
Can I embed the Rent Receipt Form form on my own website?
Yes. Publish the form and paste the embed snippet into any page or share the direct link. The embedded form resizes to fit its container and loads no advertising or marketing trackers inside the iframe.
Is the signature on this form legally usable?
The template captures a drawn signature and stores it with the submission, along with the timestamp, so you keep evidence of who agreed and when. Whether that is sufficient depends on your jurisdiction and the agreement itself.
