It starts with identification: the account or supplier reference you already hold, the legal entity name, and the contact making the request with their role and a number you can call back on. The current details on file are entered as a check — if they do not match your record, the request should not proceed, and the answer gives you a clean reason to refuse it. The new details are then captured in full: account name, account number, branch or routing code, IBAN or SWIFT where payments cross borders, and the effective date from which the change should apply. A reason question distinguishes routine changes such as a bank switch from higher-risk ones such as a request from a new contact. Evidence is required rather than optional — a bank letter, a voided cheque or a headed statement — and a verification block records the callback made, who confirmed it and when. The requester signs a declaration, and the reviewer's confirmation is stored on the same record, so any later query has a complete chain in one place.
